Booth Equipment/Inclusions


All booths (exhibit space) include carpet, trashcan, nightly booth cleaning, perimeter-only event security and company booth name sign. Inline and corner booths are framed with 8’ high pipe and drape on the back*, and 3’ high pipe and drape on the sides. Each booth also comes with standard electrical service and an allotment of chairs and draped tables, as per your Sponsor/Exhibitor Agreement. Please refer to the Exhibitor Service Manual to review the items included in your specific sponsorship package.  

  • NOTE: Pipe and Drape color is white. Table drape color is black. Carpet is dark gray. 
  • IMPORTANT: All sponsors not using the standard booth package must submit their booth design to Show Management for approval. Sponsors will not be allowed to move-in onsite without prior approval of their booth design. Please submit display approval requests by May 13, 2024 to Diana Ludwig at diana.ludwig@ExpoDevCo.com.

Also included in each booth package is a material handling allowance. See below chart for total pounds of material handling included at each sponsor level. Any materials received at the advanced warehouse or received and handled by Fern at the event venue over the allotted, included amount will be billed post show at $1.00/per lb. of freight received.

Shipping Information & Labels


ADVANCE WAREHOUSE SHIPMENT:

Materials should be shipped to arrive at the warehouse beginning Monday, May 6, 2024 and NO LATER THAN, Tuesday, May 28, 2024. The Warehouse receives shipments Monday – Friday 8:00am – 4:00pm, closed on holidays. Note on Monday May 27, the warehouse is closed in observance of Memorial Day.

Exhibitor Registration & Lead Retrieval Services


Techno Security East 2024 is pleased to offer on-line registration as the most convenient way to manage your booth staff.

For staff registration your company's main contact should already have received an email titled “Sponsor Registration Portal Link” with a direct link to your company’s customized registration portal. No login/password is required. The email may be forwarded, but the link within is the only access to register your staff. The portal is programmed with your allotted staff registration number based on your sponsor level.

Additional staff registrations can be added, and paid for with a credit card, within the portal once you have reached your included number. Rates for additional persons over the allotment are $395 per person.

Exhibit Rules & Regulations

 

ADMITTANCE
During sponsor/exhibitor move in, only registered sponsors and their Exhibitor Appointed Contractors (EACs) may enter the exhibit hall. On conference days, a sponsor badge will be required to enter the exhibit hall, including two hours prior to opening and one-half hour after closing. Please contact Show Management if you require additional time. No one under the age of 18 is allowed in the exhibit hall or the session rooms at any time. During expo hours, the exhibit hall is open to qualified attendees with a badge. Please report any attendees in the exhibit hall without a badge to the security personnel or Show Management staff immediately.

AGE POLICY
No one under 18 years of age will be permitted on the show floor or session rooms at any time regardless of affiliation or circumstances.  This includes infants and toddlers.  Absolutely no strollers or infant carriers (worn or carried) are permitted at any time on the show floor.  Show Management reserves the right to request proof of age from anyone at any time.  This rule applies to all exhibitors and attendees.  Registration of anyone under 18 years of age is unauthorized and in violation of these policies.

ANIMALS
Only working service animals, or those a part of an approved seminar or exhibit are permitted in the Convention Center. A Live Animal Waiver must be submitted and approved before any live animal is permitted on the premises.

ATTENDEES with DISABILITIES
Techno Security & Digital Forensics Expo will provide reasonable accommodations to individuals with disabilities who make their situation known to Show Management staff. It is the responsibility of the exhibitor/sponsor company to be aware of, and be in compliance with, the rules set forth in the Americans with Disabilities Act with regard to accessing their booth.

AUDIO/MUSIC
In general, sound equipment may be used in the booth so long as the noise level does not disrupt the activities of neighboring exhibitors and does not exceed the sound limitation of 80 decibels.  Show Management asks that you stay within this limit; this will be enforced on site.  Additionally, all speakers must be turned into your booth space, not into the aisles or adjacent booths. Any complaints regarding audio will be addressed by Show Management with repeated complaints resulting in the audio being removed for the duration of the show.

Exhibitors must have the appropriate ASCAP/BMI/GMR/SESAC license to play music. 

AUDIO VISUAL
AVS Coastal is the official on-site audio-visual provider for the Convention Center. Order forms for AV services may be found in the Exhibitor Services sections of the website.

BOOTH PAYMENTS 
All exhibitors/sponsors are required to settle their accounts according to the payment schedule in the contract they signed, but under all circumstances all outstanding balances must be paid in full prior to sponsor/exhibitor move-in.

FLOOR BANNERS/SIGNS
Stand up banners, flags, signs, and pull-ups are allowed but must only be placed within the confines of the exhibitor’s exhibit space and may not exceed the heights specified in the Display Guidelines (8 ft in height for all linear and corner booths, 12 ft for perimeter booths along the walls, 20 ft for island booths).

CAMERAS
No photographs, video or audio recordings may be taken in the exhibit hall ­or in the conference sessions or product demos without prior Show Management approval.

CARPET 
Carpet in standard show color is included in all sponsor booth packages. Sponsors/exhibitors that wish to utilize their own carpet, should be aware that carpet and/or carpet padding supplied by their company, or an Exhibitor Appointed Contractor (EAC), is required to be laid over the standard booth carpeting already in place. Exhibitors may also choose to rent an alternate color carpet or floor covering from the general contractor at exhibitor’s expense. 

CONTRACT
Each sponsor/exhibitor is responsible for understanding and abiding by the basic terms and conditions included in your Sponsor Application. This application properly executed by the Sponsor Representative shall, upon written acceptance by Show Management, constitute a valid and binding contract. Show Management reserves the right to render all interpretations and to establish further regulations as may be deemed necessary for the general success of the exhibition.

It is further agreed that the Exhibit Rules & Regulations as herein stated and as outlined in the Exhibitor Service Manual are made a part hereof as though fully incorporated herein, and that the sponsor/exhibitor agrees to be bound by each and every one thereof. Show Management reserves the right to make changes to the floor plan and move exhibitors to enhance and benefit the overall exhibition.

CRATE and BOX STORAGE
Storage of any crates, cartons, boxes, or other show materials within or behind your booth is strictly prohibited due to fire marshal codes. All packing containers and similar material must be removed from the exhibition area upon completion of the booth setup. Storage of crates, boxes and packing items by the general contractor is included with your sponsor booth package. At the close of expo hours, all materials that were properly labeled with EMPTY stickers will be returned to the booth. Please note that every effort will be made to facilitate the return of these materials within 30 minutes to 2 hours after the closing of the exhibit hall.

DECORATIONS
Decorations may not be taped, nailed, tacked, or otherwise fastened to ceilings, painted surfaces, columns, or fabric and decorative walls. This includes tape, staples, or tacking on any Center surface including walls, doors, and floors. Samples of all window or carpet clings must be sent to Show Management ahead of time for approval. Metallic or Mylar materials are specifically and entirely prohibited. Use of lighter than air (helium) balloons, confetti, silly string, etc. is prohibited without Show Management’s prior written permission and execution of the Convention Center’s balloon waiver. Cleaning and/or removal of prohibited décor items such as confetti, streamers, balloons, etc. will incur additional charges.

DRONES (AERIAL PHOTOGRAPHY)
Use of remotely operated aerial drones/small, unmanned aircraft is not allowed within the Center. Exceptions may be requested in writing to Show Management with provision that use is confined to the Exhibit Hall and only while the hall is closed and unoccupied by attendees.

ELECTRICAL SERVICE
All inline and corner sponsor booth packages include one (1) standard 120v electrical drop. Island booth packages include two (2) standard electrical drops. Any additional electrical power/drops should be ordered directly from the Convention Center using the link:  https://www.wilmingtonconventions.com/electric-and-utilities-service-payment/.

NOTE: For inline and corner booths, the electrical drops will be placed at the back of the booth. Sponsors with island booths must submit a booth diagram indicating the placement of all electrical drops. Please submit your booth diagram noting electrical drops by Monday, May 13, 2024 to: Diana Ludwig by email at diana.ludwig@ExpoDevCo.com.

EXHIBIT BOUNDARIES
All activities must be contained within the exhibit area described in your Application for Exhibit Space.  No selling or promoting will be allowed in the aisles or other public areas.  No part of any booth shall project outside of your booth. Souvenirs and literature may be handed out only from within the confines of your booth. Passing out promotional material or literature in the aisles or public areas is prohibited. Attendees viewing video monitors must be within your exhibit space, not crowded in the aisles.  Live bands, loud speakers and carnival tactics will not be allowed.  Please be a considerate neighbor.  

EXHIBIT DESIGN & HEIGHT LIMITS
Techno is a Cubic Content event. This style allows exhibitors to fully occupy the width, depth and height of the booth footprint.  Cubic Content Definition: Using the perimeter lines of a booth as a guide, exhibitors may install a booth up to these lines and utilize all the volume of space within these lines up to the maximum height permitted depending on the type of booth:

  • Linear and corner booths have a maximum height of 8 ft including any product, signage and/or booth component.
  • Perimeter booths along the wall have a maximum height of 12 ft including any product, signage and/or booth component.
  • Island booths have a maximum height of 20 ft including any product, signage and/or booth component.

EXHIBIT FINISHING & MATERIALS
Please note that all walls or visible booth materials must be finished if it can be seen from the aisle.  Any wall or materials facing neighboring booth must be finished and free from company logos or promotional graphics.

All materials used in the construction of the booth and all decorative materials (drapery, table coverings, banners, foam board, signs, set pieces, etc.) within exhibitor booths must be non-combustible or made flame retardant.

Exhibit construction must have prior approval and is limited to non-power cutting tools. Any items that require power tools for cutting MUST be taken outside. Painting and any form of spray painting is strictly prohibited inside the Center. Touch up painting with a brush is permitted. No aerosols, e.g., spray paint, etc., are permitted.

Enclosed exhibits of more than 300 square feet or with more than one level will require additional fire protection. Please consult with Show Management regarding ANY type of enclosed structure.

EXHIBIT FINISHING & MATERIALS (CONTINUED)
Any booth that is completely enclosed by any form of ceiling construction may require a smoke detector equipped with an audible alarm to be installed on the ceiling. In addition, an approved fire extinguisher is required in the interior portion of the booth.

Approval of any booth that exceeds eight feet in height and incorporates a ceiling and/or a second story area requires a complete set of structural plans. The plans shall include a seismic analysis of the structure and its method of attachment to the floor. The second story of a two-story booth shall be provided with at least one stairway complying with the prevailing code requirements. An occupant load sign shall be posted.

EXHIBITOR APPOINTED CONTRACTOR (EAC)
An EAC is an exhibitor appointed contractor, other than official general contractor, that requires access to your booth during installation and dismantle. Sponsors/exhibitors with an EAC must complete the form in the Fern OneView Kit by Monday, May 13, 2024.  A Certificate of Insurance for the EAC must also be submitted to the general contractor by this date.  Sponsors using an EAC are responsible for ensuring the EAC conforms to all show rules and regulations.

FOOD & BEVERAGE DISTRIBUTION
The serving of food/beverage by exhibitors is not permitted unless advanced written permission is given by Show Management. Any approved items must be ordered through Savor…Wilmington, the exclusive food, beverage and alcohol provider for the Convention Center, including all indoor/outdoor on-premises catering. Savor offers an exclusive Exhibitor Catering Menu. Please check Additional Services in the OneView Kit or Sponsor Services on the Techno Security East Website for the Exhibitor Menu.   NO OUTSIDE FOOD OR BEVERAGE IS PERMITTED.

GENERAL SERVICE CONTRACTOR
Fern is the official general service contractor for the event. Fern is able to provide you with the following services and products: additional furnishings and accessories, graphics, labor, and shipping services.  Fern hosts the online OneView Kit for your exhibiting needs.

HAND CARRY ITEMS
Move-in and move-out through the Convention Center’s concourse is strictly limited to hand-carried items. Dollies, flat-beds, pallet jacks, or anything mechanical is prohibited unless entered through the loading dock and taken to its destination via the loading dock area. Passenger elevators are designed for passenger use only and may not carry freight. 

HAZARDOUS MATERIALS
Exhibitors are prohibited from possessing, storing, or bringing onto the property materials that constitute hazardous materials as defined by federal, state, and local law.

OFFICIAL VENDORS
Recently Techno Security & Digital Forensics Conference East has been the target of groups that offer a variety of fraudulent services. This includes but is not limited to fraudulent travel, advertising and data/list services. Many of our customers have reported that these groups who are NOT our official vendors fail to deliver on their promises to provide hotel reservations, advertising, or accurate data, then refuse to grant refunds. Some of these groups engage in illegal phishing practices or embed malware in their messages that could (if clicked) infect/hack your company’s systems.

We strongly advise that you do not click on any links from e-mails or groups that look suspicious and always check our official vendor list before contracting with anyone. RIGGING/HANGING SIGNS
Hanging banners or signs above booths are permitted for sponsors/exhibitors with an island booth 400 sq ft or larger. Ceiling suspended signage is permitted to a maximum height of 20 ft.  The sign must hang directly over the contracted space only. All rigging must be performed by the in-house provider AVS Coastal. All requests to hang signs and banners must be submitted in writing for approval to Show Management by May 6, 2024. The quantity, size, proposed location and copy on all banners and signs must be submitted to Show Management. At no time can the Center’s permanent signage be visibly blocked. Handwritten signs are prohibited unless professionally designed. All signs and banners left behind and unclaimed after 24 hours of move-out will be discarded.

SECURITY 
Perimeter security will be provided by Show Management from sponsor/exhibitor move in through move out.  However, sponsors/exhibitors should ensure that all items of value in their booths are secured and not leave high-value items such as laptops and phones in sight and where they can be easily stolen. Neither Show Management nor the Wilmington Convention Center is liable for any loss or damage of materials. 

SMOKING POLICY
All forms of smoking including, but not limited to tobacco and electric/vapor, are not permitted in or on the Convention Center premises to include verandas, sidewalks, event lawn, loading dock and the parking garage.

SOLICITATION POLICY
Solicitation (“suitcasing”) by non-exhibiting companies is strictly against our rules and will not be tolerated.  We ask that if you are bothered by a solicitor, or see someone else being bothered by a solicitor, please contact the Show Management staff immediately so that we can take care of this situation for you. 

SPONSOR HOSTED EVENTS
Written permission from Show Management must be obtained to hold any training class, social or networking activity, or customer/client event, in Wilmington, NC, or the surrounding counties, within the period starting five days prior and ending five days after Techno Security & Digital Forensics Conference.

VEHICLES
Vehicles are allowed inside the Center for display purposes in compliance with the City of Wilmington’s Fire Codes. Vehicles are not permitted to operate in the Center at any time and must be pushed from exterior location to the interior location. All engines must shut down upon entrance into the Center.

  • All fuel caps must be taped shut or fitted with a locking cap to prevent the escape of vapors.
  • Fuel tanks must contain no more than ¼ in the gas tank or 5 gallons of fuel, whichever is less.
  • Fueling or de-fueling on premises is strictly prohibited.
  • The hot lead battery cable shall be disconnected from the terminal and remain disconnected while the vehicle is inside the Center. Loose cable ends shall be taped to cover all the exposed metal.
  • Keys are removed from the ignition (provide to Show Management).


WEAPONS
Weapons are prohibited in the Center except as noted below:

  • Firearms carried by sworn law-enforcement officers in the performance of their lawful duties or as permitted by law.

Exhibit Design Regulations

 

The Cubic Content Rule:


Techno Security & Digital Forensics Conference has implemented the Cubic Content Rule, which allows exhibitors to make maximum use of their booth space. Under the Cubic Content Rule, each exhibitor may build right up to the front of the booth space, up to the maximum allowable height. The height varies according to the booth type, as shown in the table and sketches below.

Please be sure to pass along these regulations to your display company, if you have one, before the construction of your booth begins. It will save your company time and money if you build your booth to be in compliance from the beginning. Large fees can accrue if you are required to alter any unapproved designs onsite.

Note that Show Management does not give variances to the Exhibit Design Regulations unless a Booth Variance form is submitted and approved in advance of the show. It is expected that each exhibitor reviews these regulations and is in full compliance. If your company fails to comply you will be required to make all necessary changes to comply, and participation at future shows may be in jeopardy.

IMPORTANT: For Island and Peninsula booths, designs not approved by Show Management in advance of Techno Security & Digital Forensics Conference will not be installed on the Show Floor.

IMPORTANT: Hanging signs must comply with the display regulations. This includes all hanging or suspended material such as banners, etc. The top of the sign (or other material) may not exceed the height limitation specific to your type of booth. Hanging signs & graphics should be set back five feet (5’) from adjacent booths.
 

In-Line/Linear Booth


DEFINITION
Exhibit consisting of one of more standard 10’x10’ booth units in a straight line, bounded by 1 or 2 aisles.

HEIGHT
Exhibit fixtures, components, products, and identification signs will be permitted to a maximum height of 8ft (2.44m).

DEPTH
The Show follows the Cubic Content Rule, which allows exhibitors to make maximum use of their booth space. Each exhibitor may build right up to the front of the booth space, up to the maximum allowable height (8ft).

PRODUCT DISPLAY
Equipment, product, or machinery when displayed to demonstrate or simulate industrial application are exempt from the foregoing height limits, but are restricted by ceiling height, as well as building and safety codes. In consideration of this exemption the excess height must be a result of the actual height of the equipment from the exhibit hall floor to the top of the equipment. Additionally, no graphics, signage, logos, etc., may be posted on equipment above the height limit for your particular booth type.
 

Perimeter Booth


DEFINITION
Inline/Linear booth located on the outer perimeter wall of the exhibit floor.

HEIGHT
Exhibit fixtures, components, products, and identification signs will be permitted to a maximum height of 12ft (3.66m).

DEPTH
The Show follows the Cubic Content Rule, which allows exhibitors to make maximum use of their booth space. Each exhibitor may build right up to the front of the booth space, up to the maximum allowable height (12ft).
 

Peninsula Booth


DEFINITION
Bounded by 3 aisles and is 20’x20’ or larger.

NOTE: Check your Confirmation Contract to confirm your booth type before designing your exhibit. Not all booths with three open sides are considered Peninsula Booths.

HEIGHT
Exhibit fixtures, components, products, and identification signs will be permitted to a maximum height of 20ft (6.1m). Hanging signs must be set at least 5’ from backline, and at a max height of 20’ from the exhibit floor to the top of the sign.

DEPTH
The Show follows the Cubic Content Rule, which allows exhibitors to make maximum use of their booth space. Each exhibitor may build right up to the front of the booth space, up to the maximum allowable height (20ft).

APPROVAL
Booth designs not approved by Show Management in advance of the Show will not be allowed to be installed on the show floor.
 

Island Booth


DEFINITION
Bounded by 4 aisles and is 20’x20’ or larger.

HEIGHT
Exhibit fixtures, components, products, and identification signs will be permitted to a maximum height of 20ft (6.1m) from the floor to the highest point in the booth. Hanging signs must be set at a max height of 20’ from the exhibit floor to the top of the sign.

APPROVAL
Booth designs not approved by Show Management in advance of the Show will not be allowed to be installed on the show floor.
 

Hanging Signs


DEFINITION
Any exhibit component, including but not limited to signs and machinery, that are hung from or attached to ceilings, exhibit structures, or building supports for the purpose of displaying graphics or identification. Hanging signs will be permitted in Island and Peninsula Booths only.

HEIGHT
Hanging identification signs and graphics will be permitted to a maximum height of 20ft (6.1m) from the floor to the highest point in the booth in an Island or Peninsula Booth, provided written approval is received from Show Management.
 

Truss Systems


DEFINITION
A truss system is a support structure made up on metal bars and is typically used specifically for lighting purposes, with light directed into the booth space and which contains NO identification or signage. Truss may exceed the height limits in Peninsula and Island booths IF approved by Show Management at least thirty (30) days prior to the opening day of the Show.
 

Double-Decker Exhibits


DEFINITION
A Double-Decker exhibit is a two-story structure where the second story is functional and may be occupied by people. Double-Decker exhibits will be permitted in Island and Peninsula Booths only.

HEIGHT
Double-Decker exhibits may not exceed 20ft (6.1m) in height, including all signage and structures. Exhibitors using Double-Decker exhibits must abide by all regulations defined for their respective booth type.

STRUCTURAL INTEGRITY
Drawings are required for all Double-Decker exhibits to include a signature or stamp of a reviewing structural engineer indicating the structure design is properly engineered for its proposed use, and a signature of an authorized official of the exhibit building company indicating the structure is built in compliance with the details and specifications set forth on the drawings. If the second story of a Double-Decker exhibit is functional, signs must be posted indicating the maximum number of people the structure will accommodate safely.

APPROVAL
All double-decker exhibits are subject to applicable state and city building codes and are subject to inspection by state/ city officials and the Hickory Metro Convention Center. Smoke detectors must be installed on the first floor of the exhibit and every subsequent enclosed level. Exhibit fire sprinkler systems are required of any exhibit that has a roof, or any other covering, that would impede the effective use of the facilities sprinkler system. A 20 lbs. BC fire extinguisher must be visible on every level of the exhibit.
 

Additional Design Regulations


DEMONSTRATION EQUIPMENT:

BOOTH WALLS MUST BE FINISHED:
All back walls and sidewalls must be finished or draped, no loose wire or any obstruction may be seen or Show Management, at the exhibitor’s expense, will drape them. See-through back walls or displays that do not cover the back wall entirely will not suffice.

NO GRAPHICS ON NEIGHBORS’ SIDE:
The backside of walls – the common border facing a neighboring booth – must be devoid of copy, logos or other graphics, so as not to be an eyesore to neighboring exhibitors.

NO NAILS OR SCREWS:
Nothing may be taped, posted, tacked, nailed, or screwed to columns, walls, floors, or other parts of the building. Show Management will remedy any damage or defacement caused by infractions of this rule at the exhibitor’s expense.

SOUND LEVELS:
Exhibits which include the operation of musical instruments, radios, sound and/or public address systems or any noisemaking machines must be conducted or arranged so that the noise resulting from the demonstration will not disturb or disrupt adjacent Exhibitors and their patrons, nor cause the aisles to become blocked. Loudspeakers must be positioned to direct sound toward the center of the exhibit booth or display area; NOT pointed toward the aisles. The 80/80 sound Rule: Any sound which consistently exceeds 80 decibels measured at the edge of an Exhibitor’s booth, is clearly identifiable more than 80 feet from that booth, or is, in the opinion of Show Management, objectionable or interfering with neighboring exhibits is considered in violation of the Show’s Terms and Conditions.

HANDOUTS:
Distribution of literature, samples or other materials outside your contracted exhibit space is strictly prohibited. The distribution of any samples, literature, or other materials from a non-exhibiting company (one without a contract to exhibit) is expressly prohibited. No literature may be distributed outside of your booth.

GOOD TASTE AND THE RIGHTS OF OTHERS:
Show Management may require any exhibitor to make changes in his/her exhibit if, in Show Management’s opinion, the exhibit does not conform to the prevailing standards of good taste or interferes with the rights of other exhibitors.

STORAGE:
Fire regulations prohibit storing product, literature, empty packing containers or packing materials behind back drape. In most cases, however, exhibitors may store a limited supply of literature or product appropriately within the booth area, so long as these items do not impeded access to utility services, create a safety problem or look unsightly.

STRUCTURAL INTEGRITY
All exhibit fixtures and components exceeding 12ft (3.66m) in height must have drawings available for review by Show Management, the installation and dismantling contractor, the exhibitor and governmental authority during the time the exhibit is being erected, exhibited, and dismantled at the Show site.

All exhibit displays should be designed and erected in a manner that will withstand normal contact or vibration caused by neighboring exhibitors, hall laborers, or installation/dismantling equipment, such as forklifts. Displays should also be able to withstand moderate wind effects that may occur in the exhibit hall when freight doors are open. Refer to local building codes that regulate temporary structures.

Exhibitors should ensure that any display fixtures such as tables, racks, or shelves are designed and installed properly to support the product or marketing materials to be displayed.

FLAMMABLE & TOXIC MATERIALS
All materials used in display construction or decorating must be made of fire-retardant materials and be certified as flame retardant. Samples should also be available for testing. Materials that cannot be treated to meet the requirements should not be used. A flame-proofing certificate should be available for inspection. Exhibitors should be aware of local regulations regarding fire/safety and environment which must be adhered to. All open flames must be shut off after the Show closes each day. Exhibitors should dispose of any waste products they generate during the exhibition in accordance with guidelines established by the Environmental Protection Agency and the facility.

VIDEO PROJECTION
Exhibitors may use video projection in their own booth but not into public space or neighboring space. The height of the video projector may not exceed the maximum height for the booth space.

UTILITY PORTS
If your booth is not equipped with a utility port, access will be drawn from a neighboring booth, or if necessary, dropped from overhead. Conversely, utilities may be drawn from your booth for a neighboring booth even if you have not ordered electrical or plumbing connections.

EARLY TEAR-DOWN PROHIBITED
Attendees visiting the Show on the last day expect and deserve a full, robust line-up of exhibitors. Early tear-down, packing and/or leaving your booth unmanned is not permitted or approved for any exhibitor. If your company breaks down or leaves early your participation in future shows will be in jeopardy.

Move-in and move-out through the Convention Center’s main entrances is strictly limited to hand-carried items. Dollies, flat-beds, pallet jacks or anything mechanical are prohibited unless entered through the loading dock and taken to its destination via the back of the Convention Center. Passenger elevators are designed for passenger use only and may not be used for freight.

Personally Owned Vehicles (POV)
Exhibitors may self-unload/load items from a POV. This includes a car, minivan, passenger van, SUV, pick up, taxi, Uber and Lift.  Exhibitors may use the circle in front of the building (located at 10 Convention Center Drive) to unload/load hand carried items.  Vehicles must be moved to the parking location once items are unloaded.  POV’s are encouraged and can also use the loading dock and drive on ramp located at 515 Nutt Street.  Please note as blocking traffic on Nutt Street is not permitted, you must use the loading dock or drive on ramp.   

Cartload service is provided at the Nutt Street dock and drive on ramp area for exhibitors in need of assistance in unloading and transporting materials to/from booth space.  Cartload service includes the labor and dolly.

POV Service Unloading
POV Service is complimentary and covered by show management.  One worker equipped with a flat cart will assist those exhibitors who qualify for POV Service with unloading and delivery of goods to the exhibitor’s booth.  POV Service is for exhibitors requiring minimum assistance to facilitate the move-in/out process.  Skidded or palletized items do not qualify.  The maximum weight is 400 pounds per trip.  Exhibitors who have extensive unloading requirements should be aware that if they exceed the material handling weight included with the sponsor level for shipments to advance and/or show site, will be billed by Show Management for the overage at $1.00 per lb.

FERN WILL NOT BE RESPONSIBLE FOR ANY DAMAGES. Exhibitors are required to carry all-risk floater insurance covering their product and exhibit materials against damage, loss and other hazards. The coverage should start when the product and exhibit material leave the exhibitor’s place of business and end when it is returned to the exhibitor’s facility after the show.

POV Service will be available from the loading dock.  Exhibitors should identify themselves as exhibitors requiring POV service to security personnel.  Exhibitors will then be directed to the specially designated area.  This service DOES NOT include rental trucks or company trucks.

POV Service Unloading
If exhibitors unloaded their own vehicle, a Bill of Lading is not required.  POV’s cannot be left unattended in the designated POV loading areas.  Once an exhibit is packed and ready to be loaded, an exhibitor should retrieve their vehicle, and proceed to the designated loading area where instructions will be provided by Fern or Security personnel.

Return of Empties
Before exhibitor’s empty containers can be returned, for safety reasons, security will ensure all attendees are off the exhibit floor. Once security provides clearance, Fern personnel will begin rolling up the aisle carpet. After the carpet is rolled up, the empty containers will be distributed.  Please note, it may take up to two hours to return the empty containers after the show.  It is important to keep all aisles clear so the crews can return the empty containers without unnecessary delays.

Outbound Shipping
All exhibitors using a common carrier must fill out a Fern Bill of Lading (BOL), which may be picked up at the service desk once the booth is packed.  Any open balances with Fern must be paid in full to receive the BOL.  Once your exhibit materials have been packed and labeled, leave your shipment in your booth. However, please return the document to the Fern Exhibitor Service Desk.  This is the process to communicate to Fern that your shipment is ready to be picked up from your booth space.  Fern will not accept forms prior to the show’s closing.  Please make sure your name and mobile number are legible on the document.  Exhibitors should verify with their carriers the pick-up time (by 6:00 pm on Thursday, June 6th) and the pick-up address:  Wilmington Convention Center (Loading Dock), 515 Nutt Street, Wilmington, NC 28401.  In the event your carrier fails to show, your shipment will be redirected through Fern’s transportation company, and applicable fees will apply.

Show Carrier
Fern Transportation is the official show carrier.  You may choose an alternate carrier; however, the exhibitor is responsible for making the arrangements for pick up.  Carriers must check in by 6:00 pm on Thursday, June 6th. Fern will make final arrangements for re-routing exhibitor materials remaining on the exhibit floor.

Small Package Carriers (FedEx, UPS, etc.)
Per move-out regulations, small package carriers such as UPS or FedEx may not pick up at the facility. For exhibitors shipping via small package carriers, we suggest that exhibitors bring their items to a direct UPS or FedEx drop off location or a hotel business center. Exhibitors taking small packages to drop off locations do not need to complete a Bill of Lading with Fern.
